Client Relations Coordinator

We are building our team and seeking a skilled Client Relations Coordinator with a passion for delivering an amazing client experience and keeping the office highly organized for the team to deliver. We love to communicate effectively to our clients, we know technology is key and we need you to have experience in providing an effective CRM system, support calendar management and overall business administration. We are seeking individuals with a keen work ethic, thrive in a fast paced and self-directed environment, with the proven ability to exceed customer expectations.

Responsibilities:

  • Greeting at front desk
  • Coordinate, attend and recording monthly team meetings 
  • Support client relations ensuring excellence for all (we deliver as a team)
  • Tracking opportunities, outstanding tasks, driving activity, tracking prospects,
  • Organizing client events and team events, it is in the details;
  • Ensure accurate and effective communication of company info supporting multiple people;
  • Investigate and respond to all inquiries promptly and accurately;
  • Schedule and communicate appointments and meetings, managing the schedule;
  • Organize, book and plan travel  – We love the best deal (flights, hotel, cars); 
  • Create and maintain client records within company CRM system; 
  • Manage multiple email accounts and respond to and redirect emails and inquiries;
  • Reporting and CRM information weekly
  • Monitor stock of office supplies (paper, envelopes, water, milk etc.);
  • Building/office management coordinate building issues with appropriate contacts (ie. Elevator issues, random repairs etc.). 

Requirements:

  • Administrative ninja skills to get “stuff” done and shift priorities (even before we know);
  • Skilled at CRM systems, calendar management, executive assistant support activities;
  • Highly organized, Microsoft suite, communications, scheduling, travel and coordination;
  • You are the type of person that gets your work done before schedule just because you can;
  • You are an amazing scheduler with a cool degree of fine-tuned attention to detail with high standards;
  • Self-motivated; friendly, approachable, able to work independently with little supervision;
  • Excellent communication skills – we will need you to help the team keep on track.
